Players/Parents Create or Renew Memberships, but You Pay in Bulk

1: Set Up Your Coaching Membership(s)

All teams must have at least one coach who has met the USAU coaching requirements, which are outlined here.

3: Registering Qualifying Players for the Play It Forward Financial Aid Program

USAU has a program for low-income youth who qualify for their school lunch program. Essentially, players need to apply, proving that they are indeed receiving aid at school, and their USAU Youth Membership fee will be fully waived.

Have your players fill out this form and submit it to their coach/organizer who can then pass all applications on to USAU

5: Paying For Your Memberships in Bulk

Once you’ve completed your full roster, you can pay for your team’s membership dues in bulk in one of the following two ways:

OPTION 1: Log into your USAU account and click on the wallet icon (“Pay My Dues/USAU Memberships”). Then you can click Pay for Personnel, and then follow the steps to pay for multiple players at once. This is the faster of the two options. Here’s a step-by-step overview of this process

OPTION 2: Email Leah Dolan-Kelley (leah@hq.usaultimate.org) and Sarah Nuni (sarah@hq.usaultimate.orgat USAU) and they will send you an invoice to pay for all of them in bulk, which will include instructions for how to make the payment via check or online. This is the slower of the two options. 

2: Having Your Players/Parents Register for USAU Memberships
Direct all of your players/parents to the USAU website to sign-up for their own membership. Make sure that they don’t pay for the membership once it’s been created. Make it clear what kind of Membership they should sign up for (Full Youth vs Affiliate). And make sure that they accept the Waiver as part of the process.

4: Registering Your Team for the League

Once you’ve gotten your players signed up for USAU memberships, you’ll need to register your team for the Oregon State High School Ultimate League. This process has several steps:

STEP 1: You will need to create your team within the USAU system and add players to your official roster. To do this, go to your membership portal within USAU and find the “Manage My Teams” section. If you have an existing team, you’ll have the option to select it from the list of your teams and click “Roll-over” to the new year. If you are a new team, you’ll need to create a new team. Here’s a step-by-step overview of this process.  Note that you may need to “roll-over” your team multiple times due to some issues on the USAU website. The rule of thumb here is to keep “rolling it over” until it appears in the “Active” list on your My Teams page. 

 STEP 2: Once you’ve created (or rolled over) your team, you will need to update your roster to include all the players/coaches who will be participating. You can do this by clicking “Manage Team Personnel.” Here’s a step-by-step overview of this process (note that this is the same doc as in STEP 1, which covers both steps). 

STEP 3: Once you’ve created/rolled-over your team and updated your team’s roster, you’ll then need to register your team for the Oregon State High School Ultimate League (which is an “event” in the USAU system), and then create your “event roster” for that event. 6: Filling Out Medical Authorization Forms for All Players
All players 17 years or younger must also fill out a Medical Authorization Form and give it to their coach/chaperone. Coaches/Chaperones must bring hard copies of these forms to all practices and tournaments.
